We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant.
As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office.
Your primary responsibilities will involve providing administrative support to the management team and facilitating effective communication within the organization.
Responsibilities:
Perform general clerical duties:
You will be responsible for a variety of day-to-day administrative tasks, such as answering phone calls, responding to emails, handling mail, and maintaining office supplies.
Schedule and coordinate Fundraisers:
You will manage the schedule and coordinate pick-ups of our kringle fundraisers.
Prepare and edit documents:
You will assist in creating, formatting, proofreading, and editing various documents, including reports, presentations, memos, and correspondence.
Data management:
You will organize and maintain physical and electronic files, ensuring easy retrieval.
Communication and correspondence:
You will draft and distribute internal and external communications, including memos, emails, and newsletters, and handle incoming inquiries with professionalism and efficiency.
Meeting coordination:
You will assist in organizing and coordinating meetings, including preparing agendas, taking minutes, and following up on action items.
Supplies coordination:
You will collaborate with other staff to ensure all locations keep stocked with necessary supplies.
This includes coordinating requests for maintenance, IT, etc.
Maintain confidentiality:
You will handle sensitive information with utmost discretion and maintain confidentiality at all times.
Qualifications:
High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience as an administrative assistant, office assistant, or similar role.
Proficiency in using office software, including word processing, spreadsheets, and presentation tools.
Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
Strong attention to detail and accuracy in data entry and document preparation.
Exceptional verbal and written communication skills.
Professional demeanor and ability to interact with individuals at all levels within the organization.
Strong problem-solving skills and ability to work independently.
Flexibility and adaptability to handle changing priorities and work under pressure.
Discretion in handling confidential information.
